1. Schedules and maintains calendar for the Director of Athletics. Coordinates schedule with University, community, and departmental events.  Prioritizes all meeting requests based on relative importance.  Discusses and informs Director of Athletics of all calendar events on daily basis. 

 

2. Represents the Director of Athletics and/or Athletic Department and serves as a spokesperson, liaison, and primary point of contact for internal and external constituencies.  Builds and sustains productive working relationships with various offices, campus and community partners. 

 

3. Creates, monitors, and reviews operating budgets for the Athletic Department and all sports, giving coaches and the Athletic Director monthly feedback on expenditures and revenues. 

 

4. Create requisitions, prepare billings, track receivables, process payments, reconcile transactions.

 

5. Generate customized, comprehensive financial reports, summaries, projections and detailed analyses for administrative use. 

 

6. Assist coaches in organizing and maintaining fiscal management for summer camp programs and other events as designated by the AD such as IHSA hosted events, booster club events, and sport fundraising events. 

 

7. Assists coaches in managing team travel and employee travel. 

 

8. Review and recommend changes to internal operating procedures to ensure optimal personnel management and workflow of Athletics compliant with University of Illinois policies and procedures, Federal and State laws and regulations, NCAA Division II and Great Lakes Valley Conference (GLVC) rules and regulations. 

 

9. Attend all athletic department staff meetings. 

 

10. Perform other duties as assigned or required. 

 

Minimum qualifications (from the SUCSS class specifications):

1. Bachelor’s degree in business administration, management, accountancy, financial management in any field, or a field relating to the position

2. Two years of professional level accounting, managerial and/or business office experience

 

Preferred Qualifications:

Financial administrative work experience or business administrative experience in a college/university environment.

Working knowledge of Athletics, National Collegiate Athletic Association (NCAA) bylaws, and/or Great Lakes Valley Conference (GLVC) policies.

Familiarity with University of Illinois applications (e.g. Banner, iBuy, P-Card, TEM, FabWeb)

 

Knowledge, Skills, & Abilities

Proficiency with Microsoft Office applications and reporting tools, spreadsheets to maximize business efficiency

Excellent oral and written communication skills.

General knowledge of sports and working knowledge of basic sports vocabulary

Demonstrated ability in successful office teamwork –the kind of teamwork that could be applied to working with coaches and Athletics’ staff

Ability to work independently and effectively organize and prioritize multiple tasks.

Ability to work flexible hours as required (e.g., some evenings and weekends for department events)

Acts with discretion and maintain a high level of confidentiality in response to sensitive matter.
