Functional Summary:

Provide academic leadership and support to the College of Health Science and Technology. This position requires discretion and independent judgment with regard to academic matters. This position supports the Dean and reports directly to the Dean and serves as the primary liaison to the campus community, University of Illinois administration, and the external community. 

 

Academic

  • CHST subject matter expert on academic policies and procedures. Provide input to the Dean and the Provost’s Office, review final policies, and oversee the implementation of CHST policies and procedures for the college, campus, and University of Illinois System. Provide appropriate information to faculty, staff, and students regarding such policies and procedures. 
  • Oversee curriculum-related processes. Review and approve course curriculum and schedules received from departments. Work with department chairs, faculty, and department office staff to ensure accuracy of course listings and completeness of faculty workload assignment information. Initiate and create faculty workload related reports. Reviewer of CHST faculty, Academic Professionals, and Graduate Assistants Activity Analysis forms for fall and spring semesters. Work with college, Provost’s office, and Registrar’s office to oversee implementation of new programs, program changes, and course offerings.
  • Use independent judgment to resolve issues or refer them as appropriate, using sound judgment and knowledge of university policies and procedures. Work closely with the Dean on such matters, oftentimes taking situations/issues from the Dean and working independently to resolve them. 
  • Responsible for interface with Admissions and Records in terms of CHST admissions, advising processes and systems and individual advising situations. 
  • Review student petitions, research student issues and make recommendations to the Dean concerning appropriate action (probation, suspension, overloads, commencement participation, transfer of college foundation or core courses). 

College Representation

  • College representative to work with the Admissions Office, Records and Registration Office, Department Chairs, and faculty and make recommendations, and/or decisions concerning CHST related academic issues. Serve as a member of the College Cabinet, an ex-officio member of the College Curriculum Committee, and as designee of the Dean on a variety of university committees as assigned.  
  • Serve as a subject matter expert on focus groups and test teams for development and upgrading of university applications as related to CHST. 
  • Coordinate and report on faculty, staff, and student collaboration with community schools, social service agencies, and accreditation/licensure bodies to promote a better-prepared workforce. 

Research

  • Research and monitor CHST related initiatives occurring in the university community. Initiate materials for dissemination to those related audiences, including letters and research reports. Assist faculty and staff with writing, reviewing, editing, and meeting agency guidelines for all types of University-based teaching, research, and service proposals for external funding. Facilitate the development of proposals. 
  • Research, investigate plans, interpret, and analyze various sources of information for a variety of administrative and academic reports (Examples: Accreditation; scholarship and gift endowments; external academic institutional policies; external program offerings and enrollment trends; and comparisons of tuition and fees in comparative institutions). 

 

Administrative

  • Provide administrative oversight for staff that support all CHST undergraduate and graduate programs.  
  • Manage part-time faculty assignments, salary scale, and time lines for appointment.  Process faculty and staff appointments and serve as subject matter resource on hiring, onboarding, and payroll procedures. 
  •  Cross-train on some business management tasks in order to serve as secondary reconciler on College expense transactions.  Assist Dean and Business Administrative Associate in making decisions related to fiscal health of the College. 

Supervision

  • First-line supervisor of department office support staff. Oversee the hiring and appointment of clerical staff. Initiate evaluation process of staff members using information collected from departments. Administer probationary and annual evaluation of staff members. Oversee allocation of graduate assistants. Identify, implement, and manage orientation, training, and staff development for college staff. Responsible for providing regular feedback to staff and keeping them informed of changes in UIS and UI policies and procedures.

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
 

  • High school graduation or equivalent
  • Any one or any combination totaling five (5) years (60 months) from the following categories:
    • college course work in business, finance, accounting or a related field:
      • 60 semester hours or an Associate's degree equals one (1) year (12 months)
      • 90 semester hours equals two (2) years (24 months)
      • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
      • Master's degree or higher equals four (4) years (48 months)
    • progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or a job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles

*As required by the position to be filled, education, training and/or work experience in an area of specialization inherent to the position may be required to meet credential requirement #2 above. 

 

Preferred qualification/education and work experience:

  • Master’s Degree
  • Professional experience in higher education
  • Extensive experience in creating executive reports
  • Experience working with document management systems in educational settings

  • Ability to work independently and exercise judgment in academic matters
  • Demonstrated excellent teamwork, collaboration, and oral and written communication skills
  • Ability to maintain a high degree of confidentiality
  • Exceptional organizational and public relation skills
  • Ability to work effectively with a diverse and broad array of people, including students, staff, faculty, community leaders, stakeholders, and the general public
  • Experienced user in Microsoft Office Applications, especially Outlook, Word, and Excel
