Minimum Starting Salary:  $16.43 per hour / 7.5 hour work day

  1. Receives and reviews confidential performance contract documents; maintains record of all of the unit’s performance contracts; monitors and follows up with various internal and external parties to ensure that contractual documents are fully executed and filed appropriately. 
  2. Maintains records of unit fiscal transactions in the record-keeping software of the department and the university and provides advice regarding the appropriateness of requested expenditures. 
  3. Receives, reviews and processes documents according to university and departmental guidelines, including contracts and payroll. 
  4. Creates expense reports based on information and receipts provided by other departmental staff for P-Card, T-Card and miscellaneous expense reimbursements; submits requisitions, vouchers, deposits and similar documents as directed. 
  5. Establishes, modifies, and/or supervises the maintenance of comprehensive file and record systems, which include confidential materials and fiscal transactions 
  6. Attends meetings as a delegate for the Business Administrative Specialist when requested; conducts research and reports information; provides information and support to other departmental staff as needed. 
  7. Assists the Business Administrative Specialist in the management of the calendar for the UIS Performing Arts Center; answers internal and external questions about scheduling 
  8. Compiles, summarizes and organizes information from a variety of sources for use in reports, forms, brochures and publications 
  9. Assists in the coordination of Performing Arts Services’ business and administrative projects including biennial inventory, annual UBIT report, and other recurring and one-time projects 
  10. Makes cost estimates and comparisons for goods and services; manages inventory of departmental office supplies, furniture and other items 
  11. Shares departmental clerical duties (including serving as phone receptionist, sorting mail, and relaying messages) with Office Support Specialist for Operations; performs responsibilities and duties of Office Support Specialist for Operations in their absence as needed 
  12. Performs other duties as assigned 

 

Minimum requirements:

 

  1. High school graduation or equivalent.
  2. Two (2) years (24 months) of work experience comparable to the third level of this series.

 

PREFERRED QUALIFICATIONS

Proficiency with the Microsoft Office Suite – specifically the Excel spreadsheet software

 

KNOWLEDGE, SKILLS AND ABILITIES

  1. Knowledge of administrative and administrative procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  2. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  3. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  4. Knowledge of computers and computer systems (including hardware and software) to enter data, or process information.
  5. Skill in material resources management through obtaining and seeing to the appropriate use of equipment, facilities, and materials needed to do certain work.
  6. Skill in communicating effectively, both verbally and in writing as appropriate for the needs of the audience.
  7. Skill in decision making by considering the relative costs and benefits of potential actions and choosing the most appropriate one.
  8. Ability to understand written sentences and paragraphs in work related documents.
  9. Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).
  10. Ability to apply general rules to specific problems to produce answers that make sense.
  11. Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
  12. Ability to choose the right mathematical methods or formulas to solve a problem.
  13. Ability to provide guidance and direction to subordinates, including setting performance standards and monitoring performance.
